Job Description – Events Manager

Role summary: Manages all BRCC events, ensures the provision of high quality projects and initiatives, drives partnerships with suppliers from across the industry, and is a key part of creating value-driving events and projects.

Reporting to:                     Chief Executive Officer

Net Salary:                          TBC

Location:                             Bucharest, Romania

Working hours:                 8 hours per day / 40 hours per week

Contract basis:                  Unlimited, following an initial 6 month review period

About the BRCC

The British Romanian Chamber of Commerce is the premier business-led organization promoting bilateral trade and investment between the United Kingdom and Romania. Our mission is to facilitate and increase the trade between those two countries through business-to-business dialogue.

The British-Romanian Chamber of Commerce was formed in 1998 and over the years has become a well-established and respected organization. The Chamber is entirely membership owned and membership driven, with the mission to increase British-Romanian business and investments.

In 2019, the BRCC’s mission is to provide members with quality service and support, in order to retain the existing membership base, and expand the Chamber’s community and reach

Key responsibilities:

Events

  • Planning and delivery of events
  • Sourcing locations and building a database of potential host venues, suppliers and partners
  • Identifying potential sponsor for BRCC events
  • Creating and agreeing event budgets
  • Negotiating agreements with venues and partners
  • Promoting events to members and partners
  • Registration of members to events
  • Liaising with partners and sponsors
  • Liaising with Finance for invoicing participants at charged events
  • Welcoming participants to events
  • Registration and filing of supplier agreements
  • Liaising with official bodies and partners as speakers and partners when required
  • Ensures all events participants are included in BRCC database in a compliant manner
  • Ensure that all Chamber events are run in accordance with GDPR and other appropriate legislation

Events-related Finance

Works closely with Finance Team to ensure timely collection of event-related revenue, and timely payment to the appropriate events suppliers

Partnerships

Identifies partners and sponsors for BRCC events, projects and initiatives

Works with all member companies to identify opportunities to promote their respective businesses, and identify revenue-generating streams for the Chamber

Has responsibility for events sponsorship, and also other areas that could be revenue generating for the Chamber – these may include, but are not limited to trade activity, delegations to and from Romania, publications, electronic materials and directories

Provide the CEO in advance with the weekly visit plan, to ensure that the appropriate levels of support are given to membership efforts

KPIs

The KPIs will form the basis of the monthly commission payments.  Unless notified otherwise, these will be as per the following:

Event – minimum of 4 good quality events per month, monthly events are profitable (unless agreed in advance with CEO) (5%)

Sponsorship – achievement of budgeted revenue targets (5%)

Additional Responsibilities

Administration

The Events Manager will be expected to be the point of contact representing BRCC in its relationship with its landlord.  This may include – but is not limited to – organization of room booking for BRCC meetings such as Board Meetings, facilitation of documentation related to the office lease, external correspondence and BRCC registration.  These activities will be carried out with the support of the CEO and Board of Directors/experts when required

Working Hours

Working hours are 8 hours per day, 40 hours per week.  In the case that time is spent at evening events representing BRCC, this may be compensated by coming to work 2 hours later on the morning of the next day.  Working hours can be 0830-1730 or 0900-1800 with a one hour break during the day, as agreed with the CEO.

Team

The Events Manager may be supported by an intern, who reports directly to the Events Manager.  The Events Manager reports directly to the CEO, and when requested may be presented to report to the Board of Directors during the monthly Board Meetings

Travel

Travel in Romania and UK may be required.
